What an AI voice agent does
An AI voice agent is software that talks on the phone. It hears what the caller says, answers in a spoken voice, and follows the instructions you give it: who to call, what to ask, and what to do with the answers.
For an insurance agency, the useful version isn't a robot that sells. It's a first voice that greets the lead, gathers the basics, and gets them to a licensed agent while they still want to talk.
Where it helps an insurance agency
- Speed to lead. Internet leads often ask several agencies for a quote at once. A call within a minute of the form reaches them while they're still on their phone.
- After hours. Callers at night and on weekends get a conversation and a booked time, not voicemail.
- When everyone's busy. At the busiest hour, the next caller is answered instead of ringing out.
- Reminders and no-shows. A call the day before an appointment, and a new time for the lead who missed one.
- Older leads. A quick check-in on quotes that went quiet, with the ones who answer passed to an agent.
Each of these is work your producers know matters but rarely have time for. The agent's time goes to the leads who are ready to talk.
What it should leave to your licensed agents
An AI agent isn't licensed. Keep quoting, coverage advice, and binding with your producers, and give the AI agent a narrow job: say who it is, ask a few questions, and hand the lead over.
- Ask the questions a producer needs before quoting: state or ZIP, what they need covered, who they're with now, and what they pay.
- Hand the lead to a person as soon as they're ready, with notes, so they don't repeat themselves.
- When nobody can take the call, book a time or take a message. Never leave the lead hanging.
Tracy, the AI Agent in DailyTrackly, asks your questions in your order and hands the lead to a free agent licensed in their state, with her notes on the agent's phone. When nobody answers, she books a time on the agent's calendar or takes a message.
Calling rules for AI calls
This isn't legal advice, so check with your compliance advisor, but these are the rules to know before an AI agent places a call:
- An AI voice is an artificial voice. The FCC ruled in 2024 that AI-generated voices count as artificial voices under the TCPA, so calls that use one need the consent those calls require.
- Consent. Only call leads who agreed to be called, and keep the record of what they agreed to.
- Calling hours. Federal rules limit telemarketing calls to 8 a.m. to 9 p.m. in the lead's time zone. Some states are stricter: Florida allows 8 a.m. to 8 p.m. and three calls a day to the same person.
- Say who's calling, and how to stop. The call should open with the agency's name, that it's an AI assistant, and how to opt out. Honor the opt-out right away.
- Do Not Call. Check the National Do Not Call Registry and your own do-not-call list.
- Medicare. Medicare leads should hear CMS's required disclaimer before any talk about plans.
Tracy only calls leads with Call consent, 8 AM to 9 PM in their time zone (Florida 8 AM to 8 PM, 3 calls a day), and skips numbers on Do Not Call or Blocked numbers. Her first words say who's calling and how to stop, and saying stop puts the number on Blocked numbers. Medicare leads hear the Medicare disclaimer first.
What to look for before you turn one on
- It works inside your phone system and CRM, so it sees the lead and the lead's history.
- It hands off live, to an agent licensed in the lead's state, not just a message in an inbox.
- You choose when it answers: after hours, when nobody's free, or every call first.
- You write what it asks, and what it says first.
- Every call is logged, with a transcript and a summary on the lead.
- The calling rules are built in, not left to each agent to remember.
- You pick who gets it, and the price is clear: per agent, per minute, or both.
How the AI Agent works in DailyTrackly
- An admin turns the AI Agent on for the agents they pick, and turns Tracy on in Setup.
- Pick when she answers, the calls she makes, her name and voice, and the questions she asks.
- Choose the ring group that takes her transfers, and how long it rings before she books a time.
- Watch her calls live, with the transcript, and read every call's summary in Call history.
It's $50 a month for each agent you turn it on for, with 200 AI minutes each a month, shared by the team; past those, an AI minute is $0.20 from your prepaid credit. Plans start at $19 per agent a month. See the AI Agent or compare plans.
